Corporate padel event gifts in leather: the lead time, counted back from the event date
A company tournament has one immovable date and a gift that must be in the room on it. How to count backwards from the day, which steps you control, and what to cut when the calendar is already too short.
A guide by TL San Martín, a tannery of origin in Elda (Alicante, Spain) since 1995, LWG Gold certified under the Leather Manufacturer standard.
For a custom leather gift run, plan seven to nine weeks from first contact to delivery. A physical sample takes 1–2 weeks, production 2–3 weeks after you approve it, and your own approval time and freight come on top. A repeat of a design approved at a previous edition runs in three to four weeks. Start from the event date and subtract.
Why does a corporate event change how you order?
A club orders prizes for a calendar it controls. A company does not: the tournament is booked around a venue, a client list and a date that cannot move. The gift is the only item on the plan that is made to order, and it is the one most often started too late.
The useful way to plan it is backwards. Write the event date at the top, then subtract each step in reverse, and see where today falls. The broader buying guide is in corporate padel gifts in leather; this one covers only the calendar.
How many weeks does a custom leather run take?
Seven to nine weeks from first contact to delivery for a custom run, as published in our corporate gifting guide. The steps inside that window:
| Step | Time | Who controls it |
|---|---|---|
| Brief: format, quantity, branding method, event date | 1–3 days | You |
| Physical sample with your logo | 1–2 weeks | Us |
| Sample approval | Your decision time | You |
| Production after approval | 2–3 weeks | Us |
| Freight to the venue | Depends on destination | Carrier |
The two numbers that are ours are the sample and the production. The two that are not are your approval and the freight, and they are where schedules slip: a sample that waits a week for a marketing sign-off costs the same week at the end.
What does the calendar look like counted backwards?
Take an event on a fixed date and subtract:
- Delivery to the venue, with a buffer of several days before the event so the gifts can be checked and packed.
- Freight, as quoted for your destination.
- Production, 2–3 weeks.
- Sample approval, ideally within days, with every approver in one thread.
- Sample, 1–2 weeks.
- Brief and artwork, vector files for every logo, approved before the sample starts.
Add them up. If the total is more than the weeks you have, nothing in the process is faster; the decision is what to change, not who to chase.
What if the event is closer than seven weeks?
Three honest options, in order of how much they preserve:
- Repeat an approved design. If the design, colour and logo were approved at a previous edition, a repeat runs in three to four weeks. It is the only route that is genuinely shorter.
- Simplify the marking. The fixed layer (company or club mark) is pressed into the leather during production. A variable layer, such as an attendee or winner name, can be added by laser on the finished piece once the list is known, which keeps the late-changing information out of the critical path. How each method behaves is in leather logo: deboss vs metal plate.
- Choose the smaller object. A racket cover is lighter, takes a large logo and costs less than a bag, so it is the safer item to commit to against a tight date. Its spec is in leather padel racket covers.
What we would not do is compress the sample. Approving a colour from a photograph is how a run ends up the wrong shade in the room.
Which decisions can you make before the brief?
Most of the lost time is decided before anyone writes to a supplier. Settle these first:
- Colour. Choose a finish already in the library: we tan in Elda and offer 160+ finishes. Colour and cutting die, not quantity, set the minimum, and a library finish avoids a development step. A colour matched to a brand Pantone is possible but ask for the lab dip in the final article.
- Logo files. Vector, with the minimum size each brand allows. If a sponsor is involved, agree the hierarchy between the two marks first; the method per logo is in co-branded leather padel gear.
- Who approves. One name, with a deputy, and a date.
- The split. Say "40 covers and 8 bags", not "around 50 gifts"; the split changes how the hide is cut.
Because we tan the leather ourselves, the colour of a repeat edition can be reproduced, which is what makes the three-to-four-week route available next year. For the certification behind the leather, see LWG Gold from a Spanish tannery.
The same calendar applies to year-end gifts for clients: see padel client gifts in leather for year-end.
Planning a gift run for a company event?
Post it on the open Business Board in RFQ · Production: format, quantity, branding method and your event date. Small runs or shared batches with another brand fit Partners & factories. To judge the leather before you commit, request samples in your colour.
Frequently asked questions
How far in advance should we order gifts for a corporate padel tournament?
Seven to nine weeks before delivery is needed for a custom run: a 1–2 week sample, 2–3 weeks of production after approval, plus your approval time and freight. A repeat of an approved design needs three to four weeks.
Can the winners' or guests' names be added late?
Yes, if they are carried on a separate variable layer, such as laser engraving on the finished piece or a small plate engraved once the list is final. The fixed mark is done in production.
What is the safest item for a tight date?
The racket cover. It is light, carries a large logo and costs less than a bag, so it adds the least schedule and budget risk. It is built to the maximum FIP racket size (45.5 × 26 cm, 38 mm), so one cover fits every player.
Do we need to order a minimum quantity?
The leather carries no minimum; colour and cutting die set it. We publish 30 units per model, split across colours, for a standard product customised with your logo.
